How Long It Should Take to Process a Wholesale Order
by Tim McLain on September 1, 2026
Nobody publishes this number, which is strange, because it is the number that decides how many orders a team can actually handle.
We can give you an observed range rather than an average, and we will be clear about the difference.
The observed range
At Nexbelt, processing one order took about 10 minutes before their platform was integrated with their ERP. Afterward it took about 1 minute, a reduction of roughly 80 percent. The work changed from a manual re-entry job into a quick double check.
At Southern Tide, more than 80 percent of the team's time went to manual order processes before integration, from collecting information out of the sales rep's hands to entering the same order into multiple systems.
Those two points describe the same gap from different angles. Ten minutes and one minute per order is the range worth planning against, and the variable that moves you across it is whether the order arrives as data or as text somebody has to retype.
Why most brands sit at the slow end
The survey data explains why the ten minute end is more common than it should be.
66 percent of brands reported that between 0 and 10 percent of their wholesale workflows are automated or AI assisted. 52 percent still forecast demand in manual spreadsheets. 24 percent have no integration between their B2B platform and their ERP at all, and another 19 percent rely on manual syncs.
Manual re-entry is not just slow. It is where errors enter. Nexbelt's team found that one small mistake in a retyped order could set off a chain of shipping errors and returns, so the real cost of a ten minute order is the ten minutes plus the occasional wrong shipment plus the credit and the relationship damage.
Do the arithmetic on your own volume
Take your order count for last season and multiply it by nine minutes, the difference between the two ends of the range. A brand processing 2,000 orders a season is looking at roughly 300 hours of staff time sitting in the gap. That is not a software argument. It is a headcount argument.
Then look at the second effect. Nexbelt's reps had no visibility into live stock or incoming ETAs, so they called production and customer service instead. Every one of those calls is time on both sides of the phone that never appears in an order processing metric.
The downstream number
19 percent of brands reported an on time and in full delivery rate below 60 percent, and 47 percent can ship within seven days, which means a significant share cannot. Order processing time is upstream of both. An order that takes ten minutes to key and occasionally keys wrong is an order that ships late or ships incomplete.
What this benchmark does not tell you
Two named brands is a small base, so treat this as an observed range and not a category average. We do not yet publish a median order cycle time across the platform. When we do, it will replace the range above, and we would rather publish the range with that caveat attached than wait and publish nothing.
Methodology. Per order processing times are drawn from published RepSpark case studies and reflect those brands' own reported before and after figures. Two brands is not a representative sample, and these figures are presented as an observed range rather than a category average. Survey figures come from RepSpark's 2026 State of Wholesale survey of 26 lifestyle apparel brands with annual revenue from $1M to more than $50M, with 70 percent of respondents at executive or director level. A sample of 26 is small and should be read as directional for the segment.
